This new feature, "Bid Ranking as a Number," allows administrators to assign a specific numerical rank to each employee, which then dictates their bidding order for shifts. This feature comes at no additional cost.
Administrator Setup and Configuration
- Accessing Bid Order Grouping:
- Navigate to Menu > Setup > Groups.
- You'll see a default "Schedule View Grouping." To set up bid ranking, you'll need to use or create a new grouping specifically for "Bid Order."
- Click on the pencil icon next to the "Bid Order" grouping (or create a new grouping and name it "Bid Order").
- Ensure the "Autofill badge number" option is selected. This feature leverages internal system options to allow the bid order to override other orders.
- Organizing Employees within Bid Order Groups:
- Within the "Bid Order" grouping, employees are listed in their ranked order.
- The order of groups themselves matters. For example, if you have "Union" and "Non-Union" groups, placing "Union" above "Non-Union" means all Union employees will be ranked higher than any Non-Union employees in the bid.
- To add new employees to the bid order group, you can sort the "Ungrouped Employees" list by other groupings (e.g., "Schedule View Grouping" and then filter by "Union").
- Drag and drop employees from the "Ungrouped Employees" section into their desired position within the "Bid Order" groups. This will assign them a numerical rank within that group.
- Remember to click Save Changes after rearranging or adding employees.
Utilizing Bid Ranking in Shift Bidding
- Creating a New Schedule for Bidding:
- Go to Menu > Setup Schedules.
- Click New Schedule and define the schedule parameters (e.g., name, start date, end date).
- Define the positions and add a schedule for them.
- Save the schedule setup.
- Managing Bidding Order:
- From the newly created schedule, click on the dropdown menu and select Manage Bidding.
- On the "Manage Bidding" screen, locate the "Bid Order" section. By default, it may be sorted by seniority.
- Click on the sorting option (e.g., "by seniority") and select Bid Order Group. This will reorder the employees based on the numerical ranking you set up in the "Bid Order" group.
- You can add all eligible people to the bid list by clicking Add All, or you can select specific employees. You can also filter by groups like "Union" or "Non-Union."
- While "Bid Order Group" sets the default, you still have the flexibility to manually rearrange the order using drag and drop if needed.
