Qualification-Based Shift Filtering

Modified on Thu, Jul 17 at 3:13 PM

Qualification-Based Shift Filtering refines the bidding process by dynamically showing employees only the shifts for which they are qualified. This feature prevents unqualified employees from being assigned to certain positions, streamlines the bidding process, ensures staffing meets required qualifications, and reduces the need for manual checking of invalid bids.

Administrator Setup: Assigning Qualifications

Qualifications are managed using employee groups or tags. Employees can be members of multiple groups, which allows for flexible qualification tracking.

  1. Verify Employee Qualifications:
    • Navigate to Menu > Setup > Groups.
    • Here, you can see groups with members, indicating their certifications or qualifications (e.g., "LEAD certified" or "forklift operator certification").
  2. Assign Qualifications to Shift Groups (Classification Level):
    • For shifts where all positions within a group are identical, you can add the qualification requirement at the group level.
    • Click on the pencil icon next to the relevant shift group.
    • Click Add to add a new requirement.
    • In the dropdown list, search for the specific qualification (e.g., "certification," "forklift operator certification," or "union").
    • Select the desired qualification. You can add multiple requirements for a single group. For example, a "Forklift" position might require both "forklift operator certification" and "union" membership.
    • If an employee does not meet all specified requirements for a group, they will not be allowed to bid on those shifts.
  3. Assign Qualifications to Individual Shifts (Specific Shift Level):
    • For individual shifts within a group that may have unique requirements, you can assign qualifications directly to that shift.
    • Click on the dropdown next to the specific shift (e.g., "lead shift number one").
    • Click Add for a new requirement.
    • Search for and select the required certification (e.g., "lead certification") and/or group membership (e.g., "non-union" or "union").
    • This allows for creating multiple layers of rules for a single position. For instance, a shift might be available to a "lead certified non-union" employee, OR any "union" employee.

Employee Experience: Dynamic Filtering of Shifts

When an employee logs in to bid, the system automatically filters the available shifts based on their assigned qualifications.

  • Employees will only see and be able to bid on shifts for which they possess all the necessary qualifications.
  • If an employee is not eligible for a shift due to lacking a qualification, that shift will appear with a padlock next to it and [unavailable].
  • This prevents employees from attempting to bid on shifts they are not qualified for, thereby reducing scheduling errors and ensuring compliance.

Qualification-based shift filtering ultimately makes bidding more accurate, efficient, and compliant.
