My Certifications - Employee Guide

Modified on Fri, Oct 30 at 4:18 PM

If your organization tracks certifications, some activities may require a current, approved certificate before you can work them. This guide shows how to view your certificates and submit new ones or renewals.

Finding My Certifications

Go to Menu > My Certifications. If you do not see it, your organization has not set up certifications yet.

The page shows one row for each certification type you have submitted, with these columns:

  • Type: the certification type.
  • Latest Gap: the most recent date range that none of your certificates of this type covered, if any.
  • Expiration Date: when your latest approved certificate of this type expires. It shows a dash if none is approved yet.
  • Status: the status of your latest certificate of this type.

Click a row to see every certificate you have submitted for that type.

Certificate Statuses

StatusWhat it means
PendingWaiting for approval. You can still edit or delete it. It does not count toward any requirement until approved.
UpcomingApproved, with an Effective Date in the future. It starts counting automatically on that date.
CurrentApproved and valid today.
ExpiringApproved and valid, but expires within 30 days. Submit your renewal now.
ExpiredPast the Expiration Date. You may be blocked from activities that require this certification.
RejectedNot approved. Shown when you open the row's history.

A certificate is valid through the end of its Expiration Date.

Submitting a Certificate

Start a new certificate in one of these ways:

  • Click New Certificate at the top of the page (on smaller screens this is a + icon).
  • Click the + icon on a type's row to add a certificate of that type, such as a renewal.
  • Open a row and click Add.

Fill in the form:

FieldDetails
Title (required)A descriptive name, such as "2027 Paramedic License Renewal."
Type (required)The certification type, from the list your organization set up.
NumberYour license or certificate number, if it has one.
Issuing AuthorityThe organization that issued it.
Effective Date (required)The date it becomes valid.
Expiration Date (required)The date it expires. It cannot be earlier than the Effective Date.
NoteAnything your approver should know. Approvers can see this note.
Upload FileOptional but recommended. Attach a copy or photo of your certificate. Accepted: PDF, PNG, JPG/JPEG, WebP, HEIC, up to 10 MB each. Add one file at a time; click Upload File again to attach more.

Click Save. The certificate is now Pending and appears in your organization's approval queue.

After You Submit

  • No email is sent when you submit, or when your certificate is approved or rejected. Check My Certifications to see the status.
  • While a certificate is Pending, you can open it (pencil icon) to edit it or delete it.
  • Once a certificate is approved or rejected, it is read-only.

If a Certificate Is Rejected

A red alert icon appears on the row with the message "A recent certificate of this type has been rejected." Rejected certificates cannot be edited. Ask your supervisor what needs to change, then submit a new certificate for that type.

Renewing a Certificate

Click the + icon on the type's row and enter your renewed certificate with its new dates. Your old certificate stays in the history. Submit renewals early: an approved renewal with a future Effective Date starts counting automatically on that date, so there is no gap in your qualification.

How Certifications Affect Your Schedule

If an activity requires a certification you do not have on the shift's date, you will see "Qualifications have not been met for activity..." when you try to:

  • Save an overtime request for that activity.
  • Send or accept a shift trade for that shift.
  • Take that shift or save a ranking that includes it during bidding.

You also will not be invited to open shifts that require a certification you do not hold. If your certificate is approved later, matching upcoming open shifts will appear in your open shifts list.

If you think you are being blocked in error, check that your certificate is approved and that its dates cover the shift, then contact your supervisor.
