Sending Broadcast Messages (email and text)

Hero Schedule's Broadcast Message feature allows you to send mass text messages, emails, or both to individuals or groups within your system. This is a great way to quickly communicate with your team. Here's how it works:


1. Go to Broadcast Message Page

Go to Menu -> Broadcast Message.


2. Selecting Recipients:

You can select:

  • Individuals: Scroll through the list or use the search bar to find and add specific people.
  • Groups: Select a pre-defined group or search for one.
  • Everyone: Choose the "Everyone" option to include all users in your system.
  • Adding/Removing: Add multiple groups or individuals as needed. Remove recipients by clicking the red X next to their name or use the "Clear" button.


3. Composing Your Message:

  • Choose Message Type: Select "Email", "Text Message", or "Both".
  • Write Your Message: Type your message in the provided field.
  • Text Message Conversion: Click the copy icon to transfer your email message to the text message field.
  • Character Limit: Text messages have a 156-character limit. Edit your message to fit within this limit. The system will warn you if you exceed it.


4. Sending Your Message:

  • Once you've finalized your recipients and message, click Send.
  • The message will be immediately sent to all selected recipients.
  • A confirmation will appear showing the results of the email and text message deliveries.


5. Sending to Additional Groups:

  • You can send the same message to another group without clearing the original message. Simply select the new group and click Send again.


6. Viewing the Archive:

  • Click the View Archive button to see a list of recent sent messages (default is the last 30 days).
  • Expand the search range to view older messages.
  • Click on a message to see its recipients and content.


7. Message Limits:

  • Hero Schedule allows 40 broadcast messages per user per month.
  • Most agencies won't reach this limit with normal, occasional use.
  • If you exceed the limit, Hero Schedule will contact you to discuss increasing your limit for an additional fee.
