This guide will walk you through exporting time card data from Hero Schedule and using Excel's powerful features to analyze it. This process allows you to filter, sort, and summarize your data to gain valuable insights into your workforce.
Exporting Time Card Data
- Navigate to the Time Card Screen: In Hero Schedule, go to the time card screen. If you have the necessary permissions, you'll see an Excel button.
- Select Date Range: Choose the desired date range for your export. This could be a specific pay period, a month, or even an entire year.
- Download the Data: Click the Excel button to download the data. The download time may vary depending on the amount of data being exported.
- Enable Editing: Once downloaded, open the Excel file. As the file is downloaded from the internet, Excel may require you to enable editing.
Understanding the Excel File
The exported Excel file contains three worksheets:
- Employee Roster: This worksheet provides a basic list of employees and their associated information.
- Data: This worksheet contains the raw time card data, including worker names, dates, hours worked, and activities performed.
- Pivot Table: This worksheet contains a pre-built pivot table that allows for dynamic analysis of the time card data.
Using the Pivot Table
The pivot table is a powerful tool for summarizing and analyzing your time card data. Here are a few examples of how you can use it:
- Filtering Data: You can filter the data by various criteria, such as employee name, activity type, or date range.
- Sorting Data: You can sort the data by different fields, such as date, name, or hours worked.
- Grouping Data: You can group data by month, year, or any other time period.
- Creating Slicers: Slicers allow you to interactively filter the data in the pivot table. For example, you can create a slicer to filter by activity type and quickly see the hours worked for different activities.
Example Analysis
- Calculate Total Hours Worked: To see the total hours worked by all employees, select the "Hours Worked" field in the pivot table.
- Break Down Hours by Month: To see the total hours worked each month, drag the "Date" field into the "Columns" area of the pivot table. You can then filter the columns to show only the month.
- Filter by Activity: To see the hours worked for specific activities, create a slicer for the "Activity" field. You can then select the activities you're interested in and the pivot table will update accordingly.
