Temporary Workaround: Setting Up Supervisor Notifications Using Old Departments

Important: This document outlines a temporary workaround for setting up Supervisor Notifications using the "Old Departments" system. A future update will streamline this process using the new "Groups" method.


Problem: Currently, Supervisor Notifications rely on the "Old Departments" structure, while the system primarily utilizes the newer "Groups" functionality. This discrepancy can lead to supervisors receiving excessive notifications.


Temporary Solution: To manage notifications effectively until the update is implemented, follow these steps:


1. Creating Old Departments to Mirror Groups:

  • Navigate to: Menu > Setup > Groups
  • Locate and click the "Old Department Editor" button, found in the upper right corner of the screen.
  • Click "Add" to create new departments.
  • Ideally, create Departments that mirror your existing Groups. This ensures accurate notification routing.


2. Assigning Employees to Departments:

  • Navigate to: Menu > Setup > Employees
  • For each employee, locate their "Department" field.
  • Change the employee's "Department" from "All" to the corresponding Department created in Step 1.


3. Configuring Supervisor Notifications:

  • Navigate to: Menu > My Settings
  • Within the Supervisor Notifications settings, specify only your relevant Department. This will restrict notifications to activities within that specific department.


Note:

  • This workaround is temporary. Once the system update is deployed, the "Old Departments" method will be replaced by the "Groups" method, simplifying the notification setup process.
  • By mirroring the Groups within the Old Departments, you will reduce the amount of unwanted notifications.
  • Please keep an eye out for updates regarding the new groups notification system.
