Solution: How to give employee Comp Time each calendar day

Modified on Tue, Oct 8 at 11:26 AM

In Hero Schedule, employees can accrue/earn Comp Time in two different ways.

  1. Overtime Requests: When an employee works extra hours, those hours are credited as Comp Time.
  2. Accrual Schedule: Employees can earn Comp Time on a daily basis (new feature). This is the method we'll be describing in this article.

Setting Up Comp Time Accrual via an Accrual Schedule

Accrual schedules are normally used for actions such as an employee earning Vacation hours each pay period. This can be based on years of service with other rules.

With Hero Schedule's new feature, employees can automatically accrue Comp Time on a daily basis, such as 0.5 or 1.0 hours per calendar day.

How to set up

  1. Go to Menu >Organization Setup >Accrual Accounts
  2. Locate your Comp Time accrual account in the list and click on the Calendar/Clock icon. Then, select Add new schedule
  3. In the settings:
    1. Enter a name for the new accrual schedule
    2. Leave the Accrual Frequency as "Each Period" (this ensures the Comp Time is added at the end of each pay period.
    3. Set the Accrual Per Pay Period to 0.5 or 1.0, or the amount of Comp Time the employee should earn each calendar day.
    4. Click on the blue "/period" link, then click the blue "hr worked" link. It should now show "/calendar day"
    5. Click Save
  4. Next, assign the specific employees to this new accrual schedule:
    1. Click the Calendar/Clock icon again and choose Set up Employees with this Account
    2. Set the date you want this accrual to start, then click Next
    3. Use the dropdown menus to select which employees will use this accrual schedule
    4. Click Save

Now, those employees will automatically accrue 0.5, 1.0, or the specified hours per calendar day.

To confirm these settings, look at the Time Cards for the current pay period. The Comp Time will display the beginning balance on the top line of the Time Card, and the ending balance at the bottom. Confirm that they received the hours they earned.
