The On Call feature in Hero Schedule allows you to easily designate employees as being on-call in your schedule. This not only visually indicates their on-call status but also automatically credits them with hours accrued to Comp Time or another accrual account for each day they are on call.
How to Set Up On-Call in Hero Schedule:
On Call Activity Setup
- Go to Menu > Setup > Activities.
- Create or select an existing activity (e.g., "Detective On-Call").
- Toggle the "On-Call" checkbox and choose the accrual account (e.g., comp time).
- Specify the accrual rate (e.g., 1 hour per day, 0.5 hours per shift).
There are three ways to set up an employee as being on call:
1. Schedule Pattern Tool:
- Go to Setup > Schedules.
- Select the employee and use the pattern scheduler to set their on-call schedule.
- Define the on-call time range (e.g., 16:00 to 08:00).
- You can easily copy and adjust this pattern for other employees.
2. Edit Shift:
- Go to the schedule and click on the shift you want to edit.
- Click the pencil icon to edit the shift.
- Add or remove the on-call activity for the desired time range.
3. Overtime Request:
- Go to the schedule and click on the "Overtime" button for the desired day.
- Select the on-call category and specify the time range.
- Add a note if necessary and approve the request.
- This allows employees to submit their own on-call overtime requests.
Additional Tips for On-Call Setup:
- Shift Abbreviations: Create abbreviations for on-call activities to improve schedule readability.
- Schedule Color and Style: Use distinct colors to highlight on-call shifts for easy identification.
- Minimum Staffing Rules: Set up rules to ensure you have adequate on-call coverage at all times. You can define specific time ranges and required staffing levels for each day of the week.
Viewing On-Call Hours in Time Cards:
- Go to Time Card.
- Select the employee or group to view their time card.
- On-call hours and accrued comp time will be displayed in the time card.
