How to Set Up On Call Days

Need a way to track on-call time for your employees? We've got you covered! While we're working on a more comprehensive solution, here's how you can effectively manage on-call scheduling right now.


If the On Call is a separate time, for example, if an employee works 1700-0500, but was On Call from 0500-1700 earlier that day, we could create an Overtime Request using some rules to allow that 0500-1700 time span to display the abbreviation ON CALL or CALL.


Note: These steps will not work if the person is on call for 24 hours and working for part of that time span.


Setting Up On Call in the Schedule ? - Watch Video

To set this up in our current system:

  • Set up an Activity
    • Go to Menu > Organization Setup > Activities
    • Click +Add Activity
    • Enter the name On Call
    • Click Save
  • Set up an Accrual Account
    • Go to Menu > Organization Setup > Accrual Accounts
    • Click +Add Accrual Account
    • Enter a name, such as On Call
    • Leave all the checkboxes unchecked
    • Click Save
    • Click the calendar/clock icon and select Add a new Schedule
    • Enter a name, such as All, click Save
    • Click the calendar/clock icon again and select Set up Employees with this Account
    • Set the date that this change should be effective, click Next, select the employees, click Save
  • Set up an Overtime Category
    • Go to Menu > Organization Setup > Overtime
    • Click +New Overtime Category
    • Enter a name such as On Call
    • Settings:
      • Activity Entry: Required
      • Compensation Rule: Specified
      • Specified Account: On Call
    • Click Save
  • Exclude from any Overtime Policies
    • This will allow a person to be on call for 12 hours without counting that towards FLSA Overtime actual hours worked
    • Go to Menu > Organization Setup > Fair Labor Standards (Work)
    • Select the Overtime Policies tab
    • If you have no rules here, refer to the article on setting up Overtime Policies
    • For any rules, click on the edit pencil
    • Under Exclude Overtime Categories, select On Call
    • Click Save
  • Set up an Abbreviation
    • Go to Menu > Organization Setup > Abbreviations
    • Click on +Add Abbreviation
    • Enter a name such as CALL that will display on the schedule
    • Activity: On Call
    • Time Span: check Include all times
    • Click Save
  • Set up Styling
    • Go to Menu > Organization Setup > Schedule Color & Style
    • Click +Add Rule
    • Settings:
      • When Activity is On Call
      • Set Font to [bold] [italic]
      • Rule Name: On Call
    • Click Save
