Flexible Bid Scheduling and Timing

The "Flexible Bid Scheduling and Timing" feature in Hero Schedule allows administrators to precisely control when a shift bid is initiated and when the resulting schedule is published. This helps to automate your workflow, enabling you to set up bids days in advance and automate their publication.



Scheduling the Bid Start Time

You can determine exactly when you want the bid to be sent out to employees.

  1. Access Manage Bidding: From your schedule, click on the dropdown menu next to "Save" and select "Manage Bidding."
  2. Choose Bidding Schedule Mode: Within the bidding schedule options, there are three modes: Standard, Sprint, and Ranked.
  3. Select Start Option: For any of these three modes, you have two options for starting the bid:
    • Manual Start: You will manually click the "Begin Bidding" button to start the bid.
    • Schedule a Bidding Start Time and Date: You can specify a future date and time for the bid to automatically begin.
  4. Set Bid Duration: You can determine how long the bid will remain open for employees to make their selections. For example, you can set it for 24 hours, meaning the bid will end the next day at the specified time, or you can change it to 12 hours.

Scheduling Schedule Activation (Publishing)

This feature allows you to determine when the completed schedule will be activated and published.

  1. Access Make Live Option: From your schedule, click on the "Save menu" dropdown and select "Make Live."
  2. Choose Activation Option: You have two options for activating the schedule:
    • Activate Now: This will make the schedule live and publish it immediately.
    • Schedule Activation: You can schedule a future date and time for the schedule to automatically become live. For example, you might set it to go live on the next day at 16:00 hours.


By utilizing both the bid scheduling and timing features, you can significantly automate your workflow, setting up bids days in advance and ensuring they are published precisely when needed.
