The Default Bid Rankings feature allows employees to leverage their annual default bid rankings on every subsequent bid throughout the year. This is particularly useful for agencies or companies that conduct weekly or monthly shift bids. It streamlines the process by allowing administrators and employees to use a previously created bid as a template for other bids during the year.
How Default Bid Rankings Work
- Creating a Default Bid Template:
- Administrators can set up a "template bid" (e.g., an annual bid) where employees make their initial ranked selections for a full year or extended period.
- Employees log in and make their selections for this template bid, which serves as their default ranking for future bids.
- Once this template bid is completed, the system records each employee's ranked selections. For example, an employee's first pick, second pick, etc., are all recorded.
- Applying Default Bid Rankings to New Bids:
- When creating a new bid (e.g., for a different week or month), administrators can create it as a copy of an existing schedule.
- Navigate to the Manage Bidding settings for the new bid.
- Select the employees participating in the new bid.
- Choose the desired default bid from a list of previously completed bids (e.g., "2025 Default Bid 2").
- When employees log in to participate in this new bid, their selections from the chosen default bid will be pre-filled based on their default rankings.
- Employee Flexibility and Automation:
- Employees can either accept their pre-filled default selections by clicking "save".
- Alternatively, employees have the option to clear their default selections under the quick select menu and then manually pick a different order of shifts, if their preferences have changed for that specific bid.
- If an employee does not log in and make any new selections for a bid that uses default rankings, their default positions will automatically be set for them.
- Matching Shifts for Defaults:
- Default bids work by matching the exact name of the shift from the default bid template with the shift name in the current bid.
- If a shift name has changed between the default bid and the current bid, the default ranking will not match up for that specific shift.
- Multiple Default Bids:
- For companies required to conduct multiple default bids during the year, Hero Schedule supports this without any issues.
- Administrators simply select the relevant default bid to use as the template under the Manage Bidding settings on the current bid.
