Shift Bidding - Protected Bids

The Protected Bid feature in Hero Schedule guarantees employees who worked a specific position in a previous bid the right to work that same position in the current bid. This feature overrides seniority for that specific position, ensuring operational continuity even if a more senior employee bids for the same spot.



How Protected Bids Work

The system looks at the final assigned schedule of a previous bid to determine protection. It doesn't just look at what the employee won during the bidding process; it includes any manual adjustments or overrides made by a supervisor after the bid closed.


Administrator Setup

  1. Create or Select the New Schedule: Ensure you have a schedule set up where the position names (e.g., "Forklift 1") are identical to the names used in the previous bid.
  2. Access Manage Bidding: From your new schedule, click the dropdown menu next to "Save" and select Manage Bidding.

  3. Select Employees: Add the employees participating in this bid cycle.

  4. Configure Protected Bid: In the dropdown menu for Protected Bid, select the specific previous bid you wish to use as the "source of truth."

    • Note: You can select any completed bid from your history, allowing you to skip weeks or use a specific master template as the protector.

  5. Optional - Combine with Default Bid: You can simultaneously select a Default Bid. The system will use the Default Bid to pre-fill the employee's rankings while using the Protected Bid to apply the Yellow Badge to their worked position.


Employee Experience

When an employee logs in to participate in a Protected Bid:

  • The Yellow Badge: They will see a Yellow Badge icon next to the shift they worked in the previous bid. This indicates their guaranteed spot.
  • Securing the Spot: To use their protection, the employee should rank the position with the Yellow Badge as their #1 Choice. This ensures that even if a more senior employee ranks that same spot, the protected employee will win it. 
  • Option to Decline Protection: Employees are not obligated to use their protection. They can choose to rank a different spot as their #1 choice. If they do not win that new spot, their protection may still act as a fallback depending on their other rankings. If they don't want the position, then they must remove any ranking from the protected position.
