Callback Codes
Callback Codes allow you to set minimum paid hours for employees who are called in outside of their regular shift, regardless of the actual time they work. This is essential for policies that mandate minimums (e.g., 2 hours, 4 hours) for events like court appearances or major incidents.
How to Set Up a New Callback Code
- Navigate to Menu > Setup > Overtime.
- Click on the Callbacks Codes button.
- Click New Callback Code.
- Code Name: Type in a descriptive name (e.g., "2 Hour Court Minimum" or "4 Hour Incident Callback").
- Callback Hours: Set the minimum number of hours the employee will be credited for.
- Example: If an employee gets a minimum of 2 hours for court, enter

- (Optional) Add a Description for internal reference.
- Click Save.
How to Use a Callback Code in an Overtime Request
Once a Callback Code is set up, employees or administrators can easily apply it when submitting an overtime request:
- Start a new Overtime Request.
- Enter the actual hours worked.
- Example: Enter the time range for the actual work, such as 08:00 to 09:00 (1 hour).
- Select the appropriate Category and Activity (e.g., General, Court).
- Click on the desired callback code (e.g., 2 Hour Callback).
- Click Submit.
Viewing the Result
When the request is submitted, you can view the results on the the Time Card:
- The record will show the actual work duration (e.g., 1 hour).
- However, the system will credit the employee with the minimum Callback Hours (e.g., 2 hours of overtime).
This ensures that employee compensation aligns with your department's call-in policies.
